Team members, approvals, and client review links

Invite members to specific client Groups, hold their posts for approval, read the 30-day activity view, and let clients approve without an account.

Two different people need access to an agency calendar: the person composing posts, and the client signing them off. They are handled differently on purpose. Members get an account scoped to the Groups you choose. Clients get a link and no account at all.

Seats and what a member costs

  • Members join free. They never need a subscription of their own to work in your workspace.
  • A pending invite holds a seat until it is accepted or removed.
  • Removing a member frees the seat immediately.
  • Clients approving through a review link do not use a seat at all.

Inviting someone

Go to Dashboard → Team. The invite panel asks for three things:

  • Their email address.
  • Which Groups they get — specific ones, or All groups (including future ones).
  • Whether to tick Require my approval to publish.

Press Send invite and they get an email with an Accept invite button. They can sign in with Google or set a password, whichever they prefer, and they land in your workspace straight after.

Invites expire after 7 days

Sending a new invite to the same address after that replaces the old one. If they accepted with a different email than the one you invited, the invite will tell them so and ask them to switch accounts — the invite is bound to the address you typed.

A member with no subscription of their own gets a small personal workspace on the side, capped at 2 connected accounts and 10 queued posts. Inside your workspace, your plan covers everything and none of those caps apply.

What a member can see

Access is per Group. A member scoped to two clients sees those two calendars, those accounts and those posts, and nothing else in the workspace.

Some things stay with you, whatever their scope:

  • Creating, renaming or deleting Groups.
  • Connecting and disconnecting social accounts.
  • Inviting, editing or removing members.
  • Approving or rejecting held posts.

You can change a member's Groups or their approval setting at any time from the same panel, without re-inviting them.

Post approvals

Turn on Require my approval to publish for a member and everything they schedule is held instead of queued. Held posts wait under Waiting for your approval on the Team page, and you get an email when one arrives.

  • A held post cannot publish. It is inert in the queue until you act on it.
  • If the scheduled time has already passed when you approve, it publishes right away, and the panel says so before you press it.
  • A member cannot route around the hold. Editing, retrying or rescheduling their own held post sends it back to you rather than to the queue.
  • A rejected post stays on the member's calendar with your note, so they can rework and resubmit it.

The 30-day activity view

The Team page carries an Activity panel: a rolling 30 days of posts composed, grouped by person, with how many published, are awaiting approval, were approved, and were rejected. When a client asks what went out last week, the answer is a table.

Client review links

A review link shows one Group's upcoming posts on a public page. The client opens the URL and sees the content, the media and the scheduled time. They never create an account, never sign in, and never occupy a seat.

Creating one

  • On Dashboard → Team, pick the Group, give the link a label the client will see — their company name works — and press Create.
  • Copy the URL and send it to them however you already talk to them.
  • You can hold up to 50 active links at once, and the panel shows whether each has been viewed.

What the client does

Each post carries Approve and Request changes. Requesting changes opens a note field so they can say what should change. They can revise their own verdict afterwards.

  • You get an email when a client requests changes, with their note.
  • Approvals show as a badge on the post rather than sending mail.
  • A client verdict is feedback, not a gate: the post publishes at its scheduled time unless you change it. Pair the link with member approvals if you want a hard stop.

Revoking one

Revoke a link from the same panel and the URL stops working immediately. Nothing the client already left is deleted.
